Personal data during the course of the application process
Personal data are information relating to an identified or identifiable natural person's personal or material circumstances. This includes information such as your name, your address, your phone number and your date of birth, for example, as well as data relating to your concrete career, etc. which can be associated with a specific person with reasonable effort, whereas information which cannot be (in)directly associated with your actual identity is not personal data.
Legal basis for processing
We process your personal data in accordance with the provisions of the European general data protection regulation (EU-GDPR), insofar as this is required for the decision concerning the establishment of an employment relationship with us. The legal basis for this is point (b) of Art. 6(1) of the GDPR concerning the initiation or implementation of contractual relationships.
In the event of an employment relationship between you and us, we may process the personal data we have already received from you for the purposes of the employment relationship, insofar as this is required for the implementation or termination of the employment relationship or for the exercise or fulfilment of the rights and obligations of employee representation resulting from a law or a collective agreement, a works or service agreement (collective bargaining).
Bases and purposes of processing of personal data in applications and in the application process
If you apply to us by electronic means, i.e. by email or using our web form, then we collect and process your personal data for the purposes of handling of the application process and in order to take steps prior to entering into a contract.
By sending an application on our recruiting page, you express your interest in taking up employment with us. You submit personal data to us in this context which we use and store solely for the purposes of your job search/application.
In particular, the following data is collected here:

Email address
Phone number
Location
Salary requirement
You also have the option of uploading informative documents such as a cover letter, your CV and references. These may contain additional personal data such as place of birth, address, etc.
Only authorised employees in the human resources department and employees who are involved in the application process have access to your data.
In principle, the personal data is stored solely for the purpose of filling the vacant position for which you have applied.
Your data will be stored for a period of 180 days after the end of the application process. This is generally done for fulfilment of legal obligations or for defence against any claims arising from statutory provisions. We are then required to erase or anonymise your data. In this case, your data only remains available to us as so-called metadata with no direct reference to your person for statistical analysis (for example ratio of women to men in applications, number of applications per period, etc.).
Furthermore, it is possible that we will include your data in our pool of applicants even after the 180 days after the end of an application process. This inclusion is only done with your express written consent by email. Your data is then included for an indefinite period, but you can withdraw your consent by email at any time. We will then immediately erase your data from our pool of applicants.
Disclosure of data to third parties
The data communicated within the context of your application is transmitted using TLS encryption and stored in a database. This database is managed by Personio GmbH, which provides human resources management and applicant management software (https://www.personio.de/impressum). Personio is our processor in accordance with Art. 28 of the GDPR in this context. Here, the basis for processing is a processing contract between us, as the data controller, and Personio.
Rights of the data subject
Insofar as data is processed by us as the data controller, you as the data subject are entitled, according to the legal basis and purpose of processing, to certain rights in accordance with the GDPR:
Right of access: You have the right to information about the data we have stored, in particular concerning the purpose of processing and how long the data will be stored for (Article 15 of the GDPR).
Right to rectification of inaccurate data: You have the right to request immediate rectification of the personal data concerning you insofar as they are inaccurate (Article 16 of the GDPR).
Right to erasure: You have the right to request erasure of the personal data concerning you. These conditions provide for you to request the erasure of your data if, for example, we no longer need the personal data for the purposes for which they were collected or otherwise processed, if we should unlawfully process the data or if you have legitimately objected to it or if there is a legal obligation for erasure (Article 17 of the GDPR).
Right to restriction of processing: You have the right to request restriction of processing of your data. This right applies in particular for the duration of review if you have contested the accuracy of personal data concerning you and in the event that you have a right to erasure and request restriction of processing instead of erasure. Right to object: You have the right to object, on grounds relating to your particular situation, at any time to processing of personal data concerning you (Article 21 of the GDPR). We will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or for the establishment, exercise or defence of legal claims.
